• Applicants must be employees of the University of Cologne. There is no legal claim.
• Caring for the child/children at the place of residence is generally preferable. 
• A maximum of two positive subsidy decisions per person/per year  is possible and a total of 600 € can be reimbursed.
• Every kind of additional grant must be indicated and proven in the travel expense report.

• Caregivers can be various persons, but must care for the child free of charge (no paid babysitters).
• Travel expenses of the other parent as the accompanying person of a child over 24 months of age can only be approved in exceptional cases, as care can usually be provided at the place of residence in such cases.
• The travel of caregivers to the place of residence (usually family members) cannot be covered. Costs directly to the business trip destination can be paid in exceptional cases if this is more economical (→ cost estimate).

• In the case of children being breast-fed up to 24 months of age, it is assumed that they must be taken along.

• Applications for reimbursement of travel costs for children over 24 months of age will be checked on a case-by-case basis. Proof of the necessity to take the child(ren) and an accompanying person (e.g. in the case of de facto/legally single parents) must be submitted (see pt. 5).

Reimbursement of travel expenses of the child/children and the accompanying person is possible up to 600 € per year. The costs incurred must be substantiated by original receipts. Every kind of additional grant must be indicated and proven in the travel expense report. Please take into account the following maximum sums:

Domestic travel (refinancing of travel and accommodation for up to 5 days) - A maximum of 400 € per trip can be granted.

Travel expenses: Total sum for the child to be cared for and the caregiver: 150 €. This applies to second-class train tickets and economy-class airfare. For each additional child that has to be taken along, a subsidy of max. 10 € is paid, provided that there are actual transportation costs. If you use your own car, a small distance allowance is granted (without allowance for passengers and luggage). Car rental and taxi costs are usually not refundable.

Accommodation costs: Accommodation costs for the applicant, on the basis of the cost estimate for single rooms, plus max. 50 € for accompanying person/child and plus 10 € for each additional child.

Travel abroad (reimbursement of travel and accommodation up to 14 days) - A maximum of 600 € per trip can be granted.

Travel expenses (incl. visa): Full reimbursement of costs up to a maximum sum of 150 € for every traveller accompanying the applicant. In case of higher costs, 50% of the costs are usually reimbursed, but at least 150 € of the travel/flight costs per accompanying person and child. This applies to second-class train tickets and economy-class airfare. For each additional child that has to be taken along, a subsidy of max. 20 € is paid, provided that there is a charge for taking along the child. If you use your own car, a small travel allowance is granted (without allowance for passengers and luggage).

Accommodation costs: Accommodation costs for the applicant on the basis of the cost estimate for double rooms used by one person (because single rooms are often not available abroad), plus max. 50 € for accompanying person/child and plus 10 € for each additional child

• Employees on parental leave may carry out business and further training trips if they are employed on part-time parental leave (caution: effect on parental allowance!). All the above rules and criteria apply equally to this group of people.

• Reimbursement of travel expenses for the caregiver and child(ren) is not possible if the business trip is combined with a private stay and if other persons (except approved caregivers and child(ren)) travel with the child(ren). Research stays of three months or more are excluded from this regulation.

• In the case of a trip abroad, the insured person must ensure that all persons travelling with him/her have adequate insurance coverage (international health insurance). The UoC does not reimburse the costs of insurance coverage for the caregiver and child(ren), nor does it reimburse additional insurance coverage for motor vehicle liability.
